HELLO! Shie here, and I’ve recently started my own studio together with a friend of mine.

We both love creating, and we wanted a space where we could grow, collaborate, and bring more ideas to life. Our goal is to steadily expand our capabilities and offer a wider range of creative services for everyone.

We aim to deliver a high visual quality aesthetic that fits the needs of creators, VTubers, and art enthusiasts whether it’s illustration, graphic design, or layout work. As we continue to grow, we hope to build a studio that people can rely on for polished visuals, consistent quality, and creative work that stands out.

GENERAL PROVISIONS



services and acceptance

  • Shione Studio provides digital illustration, graphic design, layout, and related services.

  • Submitting a request or inquiry does not guarantee that the Studio will accept the commission. The Studio reserves the right to refuse or decline any project or client at its discretion.


ownership & copyright

  • All original artwork produced by Shione Studio remains the property of Shione Studio. The Studio retains full copyright and moral rights, unless explicitly agreed otherwise in writing.

  • The Client is purchasing a limited license for usage — personal use by default. Additional rights (e.g., commercial use, full copyright transfer) must be negotiated and documented separately.

  • If additional rights are granted (commercial, publication, merchandise, etc.), this must be specified in writing.


prohibited Uses / client responsibilities

  • Client may not claim the artwork as their own, trace it, copy it, or use it as a base/reference for derivative works without the Studio’s explicit permission. (No unpermitted edits, redraws, “base use,” or AI manipulation.)

  • Unless commercial/extended license is purchased, Client may not use the artwork for profit or commercial gain (e.g. monetized content, merchandise, resale, advertisement).

  • Client must respect the artist’s style integrity: if style is integral to the deliverable, Client must not require the Studio to alter the style.


portfolio / pomotion / public display

  • Shione Studio reserves the right to showcase commissioned work in its portfolio, social media, or promotional materials — unless a separate NDA or “private work” agreement is made.

  • If Client requires privacy or non-disclosure (e.g. unpublished project, sensitive content), this must be stated at commissioning; an additional confidentiality fee or agreement may apply.



PAYMENT & FEES



accepted payment methods

  • PayPal is the default and primary payment platform used by Shione Studio for all commissions and services.

  • Alternative payment methods (e.g., bank transfer, Wise, GCash, etc.) may be accepted only upon request and must be approved by the Studio before the invoice is issued.

  • All payments must be made in the currency stated on the invoice unless otherwise agreed.


payment requirements

  • Full upfront payment via PayPal is the standard requirement to begin any project.

  • Clients may request a split-payment arrangement, which the Studio may approve or decline depending on project and client budget.


split-payment options

  • a. Sketch Deposit Plan (50/50)

  • A 50% non-refundable deposit is required to begin the sketch phase.

  • The remaining 50% must be paid before rendering, coloring, or layout production begins.

  • b. Milestone Payment Plan (for large/commercial projects)

  • Payments may be divided into multiple phases (e.g., 30/40/30).

  • Each milestone must be fully paid before the project advances to the next stage.

  • c. Extended Payment Plan (Approval Only)

  • The Studio may offer a 3–6 payment schedule for large projects or trusted clients.

  • Work pauses immediately upon missed payment.

  • Final deliverables are released only after full payment is cleared.

non-refundable payments

  • Deposits, milestone payments, and phase approvals are non-refundable as they compensate for time, scheduling, administrative work, and progress already completed.


late or failed payments

  • Projects may be paused or cancelled if payments are not made by the agreed date.

  • The Studio reserves the right to refuse future services to Clients with repeated payment issues.



PROJECT PROCESS, DEADLINES & COMMUNICATION



project scope & reference requirements

  • Client must provide clear, high-quality references and a detailed brief at the start (concept, reference images, text, layout instructions, size/resolution specs, style references, usage details).

  • Any required changes to scope (extra characters, complex background, added elements) should be agreed in writing prior to work start; pricing may be adjusted accordingly.


workflow & revision policy

  • Typical workflow: sketch → lineart/layout → color/flat → final render (or layout, depending on service) → deliverable.

  • Client is entitled to 1-3 free revision rounds during draft/rough phase. After final approval, only minor corrections may be allowed (e.g. color tweaks, minor adjustments), unless extra revisions are negotiated and paid for.

  • Additional changes beyond agreed revisions are subject to additional fees.


deadlines & rush requests

  • If Client requires a specific deadline, this must be clearly stated at start. The Studio will confirm whether the deadline is achievable before accepting the commission.

  • Rush orders (tight deadlines) may incur a rush fee (e.g. +20–50% of base fee) depending on complexity and schedule.

  • Studio is not liable for delays caused by late feedback or Client’s delayed responses.


communication

  • Client agrees to respond to artist’s requests for feedback, confirmation, and approvals in a timely manner. Prolonged silence may pause the project or result in project cancellation without refund.

  • Artist may communicate via agreed channels (email / Discord / other).

DELIVERABLES AND FILE HANDOVER



deliverables

  • a. Upon full payment, the Client will receive the finalized project files in the agreed format(s). Deliverables may include:

  • Final Artwork or Layout in the specified file format (e.g., PNG, JPG, PDF, PSD, AI, etc.)

  • Watermarked Version suitable for previews, social media posting, or client approvals

  • Optimized Versions when applicable (e.g., web-optimized, print-ready, resized exports)

  • b. These additions are provided to ensure that the Client can use the project files efficiently and without confusion.


source files

  • (Adobe Illustrator, Procreate files, Blender files) are not included by default.

  • If the Client requires source files, this must be requested before the project begins and may incur an additional “Source File Fee.”

  • Source files may be adjusted, cleaned, or reorganized at the Studio’s discretion for proper handover.


storage & backup

  • Shione Studio will maintain a backup of the project files for up to 6–12 months after delivery.

  • After this period, the Studio is not responsible for file retrieval or re-delivery.

  • Clients are advised to store and back up files securely.


credit/attribution

  • Unless otherwise agreed, Client should credit Shione Studio / artist when publicly posting or using the watermarked artwork (for editorial, non-commercial sharing, portfolio, etc.)

  • If commercial license is purchased, the required credit format (if any) should be specified in the agreement.



REFUND & CANCELLATION POLICY



client-initiated cancellations

  • All payments, deposits, and slot reservations are non-refundable, as they secure the Studio’s schedule and block other clients from booking.

  • The Client may only request a refund if the Studio fails to show any form of progress within 90 days (3 months) after receiving the first payment.

  • If any progress is shown, the project is considered active and refunds will not be issued.

  • Failure to provide required references, approvals, or feedback does not count as Studio delay and does not qualify for refunds.


studio-initiated cancellations

  • If the Studio cancels the project due to unforeseen circumstances, a partial refund may be granted depending on completed stages.

  • If cancellation occurs before work begins, the Studio may retain a non-refundable scheduling fee (10–20%) for the reserved slot and administrative work.


refund limitations

  • Refunds are not granted for:

  • Change of mind

  • Style preference issues

  • Slow communication from the Client

  • Unresponsiveness from the Client

  • Delayed approvals

  • Revisions exceeding the scope

  • Completed or nearly completed artwork

  • After final files have been delivered



LIABILITY & AGREEMENT



  • The Studio is not responsible for damages, losses, or issues resulting from how the Client uses or stores the files.

  • By commissioning, the Client acknowledges having read and agreed to these Terms.

  • These Terms protect both the Client and the Studio and ensure a professional working relationship.
